Crane Export Documentation Checklist: What B2B Buyers Must Verify Before Shipment

When you purchase an LD single-girder overhead crane (0.5–20T) or a 50-ton LH hoist double-girder crane from a Chinese manufacturer, the equipment itself is only half the transaction. The other half is paperwork. Missing or mismatched documents can stall your crane at the port for weeks, trigger customs penalties, or block warranty registration entirely. This checklist covers the five document groups every crane importer should audit before the container leaves Shanghai or Qingdao.

1. Commercial Invoice

The commercial invoice is the customs value basis in nearly every jurisdiction. For cranes, generic descriptions like "hoisting equipment" invite scrutiny. Insist on line-item detail:

Exact model designation — e.g., QD 50/10t double-girder overhead crane, span 22.5m, or MH 10t single-girder gantry crane, span 18m
Unit price, quantity, and total value in the contract currency
Incoterms 2020 term (FOB, CIF, DAP) with named port
Country of origin: People's Republic of Tiongkok
HS code — biasanya 8426.11 (overhead travelling cranes) or 8426.19 for gantry and bridge variants; confirm with your broker, as container-handling RMG units may classify differently

For multi-unit orders — say three KBK light rail systems plus two BZD pillar jib cranes — require separate invoice lines per model. This speeds up certificate-of-origin matching and simplifies partial-shipment clearance.

2. Packing List

Crane shipments are almost always multi-package: girders, end carriages, hoist units, control panels, wire rope drums, and loose components. The packing list must reconcile with the invoice and the physical load.

Package count, marking (e.g., CH-001 through CH-014), and package type — steel frame, wooden crate, or containerized loose
Net weight, gross weight, and dimensions per package
Contents per package — identify the hoist trolley separately from the bridge girder
Total gross weight and total CBM, which your freight forwarder needs for booking

Practical tip: for QD 100t+ double-girder cranes shipped in break-bulk or flat-rack, verify that girder lengths on the packing list match the actual span. A 31.5m girder declared as 28m creates immediate customs discrepancy flags.

3. Bill of Lading (B/L)

The B/L is your title document. Errors here are the most expensive to fix because amendments after vessel departure cost time and money.

Shipper: must match the invoice seller exactly — Hefei Chunhua Hoisting Machinery Co., Ltd or the exporting entity named on the contract
Consignee / Notify Party: match your import license holder precisely; a one-letter difference can delay release
Description of goods: consistent with the invoice — "1 x 40HQ containing 2 units QD 20t double-girder overhead crane, disassembled"
Port of loading / discharge, vessel, voyage, container and seal numbers
Freight terms: prepaid or collect, aligned with your Incoterm

Request a draft B/L before vessel departure and check it against the invoice and packing list line by line. For L/C transactions, ensure every B/L field complies with the letter of credit wording — banks reject on strict documentary compliance.

4. Certificate of Origin (CO)

The CO determines your duty rate. Two types matter for crane imports:

General CO (Form CO): issued by CCPIT or Tiongkok Customs; standard for most destinations
Form E / Form F / Form B: preferential certificates for ASEAN, Chili, and other FTA partners — these can reduce or eliminate duty on overhead and derek gantry

Confirm the HS code on the CO matches the invoice and B/L. A QD 150t metallurgical crane classified under 8426.11 on the invoice but 8426.19 on the CO will be rejected by customs in most markets. If your country has an FTA with Tiongkok, ask before production whether the crane qualifies — rules-of-origin thresholds apply to component sourcing, not just final assembly.

5. Product Certificates and Compliance Documents

This is where crane shipments differ from general cargo. Depending on destination, you will need:

CE marking documentation — Declaration of Conformity, technical file reference, and EN 15011 / EN 13001 compliance for EU and UK buyers
EAC (TR CU 010/020) — for Rusia, Kazakhstan, Belarus, and Armenia
GCC / SASO — for Gulf Cooperation Council states and Arab Saudi
SONCAP — Nigeria; KEBS — Kenya
CCC — where applicable for China-domestic components
Mill certificates for Q345B / Q235B steel — increasingly requested by project engineers and insurers
Test and inspection reports — load test certificate, electrical safety test, and, if specified, third-party inspection (SGS, BV, TÜV)

Design-standard documentation also matters at the technical review stage: GB/T 3811 is the default, while FEM 1.001, DIN 15018, or CMAA #70 can be supplied on request for buyers in Eropa and Amerika Utara. If your tender specifies CMAA #70 for a QD 80t crane, confirm this in writing before the order — retrofitting documentation after fabrication is slow and costly.

Pre-Shipment Document Audit

Run this sequence before releasing final payment:

Invoice, packing list, and B/L drafts cross-checked for model, quantity, weight, and HS code consistency
CO application submitted with matching HS code and origin criteria
Destination-specific certificates confirmed as issued, not just "in progress"
Originals or telex release instructions agreed with the seller
Garansi certificate (12-month standard) and spare parts list included in the document set
